Terms and Conditions

TERMS & CONDITIONS – FLOW THERAPY


Welcome to Flow Therapy.

By booking an appointment or using our services, you agree to the following Terms & Conditions. These terms ensure clear expectations and a professional service for all clients.


1. Booking, Deposits & Payment

Booking

All appointments must be booked in advance via phone, email, or online booking system.

Booking Deposit

A £20 booking deposit is required to secure all appointments.

  • Appointments are not confirmed until the deposit has been received
  • The deposit must be paid within 24 hours of booking
  • If the deposit is not received within this timeframe, the appointment may be cancelled and released for rebooking

Payment

The remaining balance is payable at the time of your appointment via:

  • Cash, or
  • Bank transfer

Where possible, clients are encouraged to use bank transfer to reduce transaction fees.

2. Cancellations, Rescheduling & No-Shows

We understand that circumstances can change; however, late cancellations have a significant impact on a small business.

Cancellation Policy

  • More than 24 hours before your scheduled appointment time: deposit may be transferred to a future appointment
  • Within 24 hours of your scheduled appointment time: deposit will be retained
  • Same-day cancellations or failure to attend: full treatment fee may be charged

Cancellation notice must be given at least 24 hours before your scheduled appointment time.

No-Shows

If you do not attend your appointment without prior notice, the full treatment fee will be charged and no refund will be issued.

3. Late Arrivals

If you arrive late, your treatment time may be reduced to avoid impacting other clients. The full treatment fee will still apply.

4. Health & Safety

Health Disclosure

Clients must disclose any medical conditions, injuries, or medications that may affect treatment before the session.

Contraindications

Certain conditions may prevent treatment (e.g. infections, open wounds, or specific medical issues). Medical advice should be sought where appropriate.

Right to Refuse Treatment

We reserve the right to refuse or stop treatment if:

  • Treatment is deemed unsafe
  • Inappropriate behaviour is displayed
  • Medical contraindications are present

5. Client Conduct

A professional environment is maintained at all times.

Any inappropriate, abusive, or unprofessional behaviour will result in immediate termination of treatment and refusal of future bookings.

All client information is kept confidential unless required by law.

6. Gift Vouchers

  • Gift vouchers are non-refundable and non-transferable
  • Vouchers cannot be exchanged for cash
  • Vouchers must be used within their validity period
  • If a voucher booking is cancelled within the cancellation period or not attended, the voucher may be considered redeemed

7. Refund Policy

Completed Treatments

No refunds are issued for completed treatments.

If you have concerns about your treatment, please contact us within 24 hours so we can review and address them appropriately.

Refunds & Exceptions

Refunds are not generally issued outside of the above terms.

In exceptional circumstances (e.g. medical emergencies), we may at our discretion offer:

  • A deposit transfer, or
  • A partial refund

All cases are assessed individually.

Where a refund is approved, it will be processed within 5 business days.

8. Liability Waiver

By booking an appointment, you acknowledge and accept that massage therapy carries inherent risks.

Flow Therapy accepts no liability for injury, reaction, or discomfort arising from treatment unless caused by negligence.

You agree to release Flow Therapy and its practitioners from any claims arising from treatment.

9. Privacy Policy

Your personal data is handled in accordance with our Privacy Policy, which outlines how information is collected, stored, and used.

10. Changes to Terms

Flow Therapy reserves the right to update these Terms & Conditions at any time. Updates will take immediate effect upon publication.

11. Governing Law

These Terms & Conditions are governed by the laws of Scotland. Any disputes will be handled within the appropriate jurisdiction.
